Provincial Sign Systems is the distributor of Provincial Sign Systems signage and media in Canada, the United States and internationally (referred to hereafter as Provincial Sign Systems). Provincial Sign Systems is a division of Provincial Sign Service Ltd established in 1977. Our signage and media products are distributed from Pickering Ontario, Canada through a network of installers authorized by Provincial Sign Systems, which are independently owned and operated businesses, which may have their own privacy policies and procedures. At Provincial Sign Systems we take individual privacy very seriously. We are strongly committed to providing a transparent and coordinated approach to managing interactions with our customers. This Privacy Policy complies with the Personal Information Protection and Electronic Documents Act and applicable provincial privacy laws. It is also a reflection of our guiding principle: that at Provincial Sign Systems, people come first. At Provincial Sign Systems we focus on our customers, creating relationships inspired by mutual respect and trust.

This Provincial Sign Systems Privacy Policy covers all modes of interaction between Provincial Sign Systems and our customers, including in-person, over the telephone and over the Internet, directly and indirectly when we collect personal information about individuals from our account representatives or third party partners.

1. What personal information does Provincial Sign Systems collect?

• When a account representative discloses information to Provincial Sign Systems about a potential customer including that individual’s name, address and contact details, for the purpose of ongoing communications relating to the potential purchase or lease of a Provincial Sign Systems product;
• Once a customer purchases a new Provincial Sign Systems sign or media product, when the account representative discloses information to Provincial Sign Systems, including the customer’s name, address, contact and license details, for warranty administration and ongoing customer communications and sign or media product service related purposes;
• Once a customer arranges financing for a new sign or media product the account representative discloses information to Provincial Sign Systems for marketing and product development purposes, about the lease sign or media product and financing information (which may constitute personal financial information if linked with other personal information).
• Through surveys, research and customer-initiated contact, to enable Provincial Sign Systems to constantly improve the quality of our product and service offerings;
• When contacting us for further information;
• When registering for on-line services;
• For program verification purposes;
• By way of the Provincial Sign Systems web site, where individuals may be requested to provide name, address and contact information to enable us to communicate with them;
• And when an individual services their sign or media product and when this service information is disclosed to Provincial Sign Systems for marketing purposes.

Personal information collected by Provincial Sign Systems typically consists of basic contact information: name, title, home address, e-mail address, and telephone and fax numbers. Visitors to the Provincial Sign Systems web site are able to send e-mails to third parties from our web site. These messages may contain the user’s screen name and e-mail address, as well as additional personal information voluntarily included in the message.

Visitors to Provincial Sign Systems’ web site are not required to register or provide personal information to gain access. 2. How is personal information used?

Provincial Sign Systems may collect personal information in the circumstances described in the preceding paragraphs. Information collected by Provincial Sign Systems is used only for the purpose identified at the time of its collection.

3. How long does Provincial Sign Systems retain your personal information?

Consistent with Canadian privacy law, Provincial Sign Systems retains your personal information only as long as necessary to fulfill the stated purpose for its collection and use. Customer personal information collected for sign or media product warranty administration is retained for ten years. Provincial Sign Systems reserves the rights to otherwise retain your personal information as may be required or permitted by law.

4. Accessing and updating your personal information?

You have the right to access, verify and amend your personal information collected by Provincial Sign Systems. To help us keep your personal information current, contact the Provincial Sign Systems Privacy Officer at 905-837-1791. When requested, Provincial Sign Systems will suppress identifying information from current operational systems for the purpose of mailings or other communications.

Provincial Sign Systems assumes no responsibility for verifying the ongoing accuracy of personal information. Once advised that personal information is inaccurate, Provincial Sign Systems will amend the information and correct it with information provided by the customer.

5. How is my information secured?

Provincial Sign Systems treats your information as private, confidential information and we strive to protect that information, both on-line and off-line, at all times. Provincial Sign Systems has implemented generally accepted technological and operational security systems to protect personally identifiable information from loss, theft, misuse, alteration or destruction. All Provincial Sign Systems employees, agents and authorized account representatives are instructed about this Privacy Policy and are required to adhere to our security policy. Only personnel authorized by Provincial Sign Systems have access to personal information and these individuals are contractually required to preserve the confidentiality of this information.

6. Changes to the Provincial Sign Systems Privacy Policy

Provincial Sign Systems reserves the right to modify or amend this Privacy Policy at any time and for any reason and as required by law. Provincial Sign Systems will notify users of changes to this Privacy Policy for a period of not less than two weeks from the date of the change on our homepage at www.provincialsign.com.
